SIM Cards Inventory & Assignment Management System – Business Process Document

1. Introduction

This document defines the business processes, requirements, and workflows for the SIM Cards Inventory & Assignment Management System, based on the old SIM tracking sheet and aligned with TEC operations.

2. Business Objectives

1. Replace manual SIM tracking with a centralized tool.

2. Enable accurate assignment, transfer, suspension, and deactivation workflows.

3. Provide audit-ready history and improved reporting.

3. Key Actors

• Switchboard/TEC Admin – Manages inventory and approvals and supports updates and visibility.

4. Business Processes

Includes registration, assignment, transfer, suspension, deactivation.

4.1 SIM Registration Process

1. TEC receives new SIM batch.

2. Register SIM via Power App.

3. Enter SIM details (number, operator, type, region).

4. Set Status = In Stock.

5. SIM available for assignment.

4.2 SIM Assignment Process

1. Staff/Unit requests SIM.

2. TEC selects SIM from In Stock.

3. Enters staff data (name, email, index, unit).

4. Updates duty station and budget activity.

5. Status = Assigned.

4.3 SIM Transfer

1. Open SIM.

2. Select Transfer.

3. Enter new staff.

4. Log old/new data.

5. Save.

4.5 Suspension, Return, Deactivation

Actions:

• Suspend SIM with reason.

• Return SIM to stock (status → In Stock).

• Deactivate SIM permanently.

4.6 Monthly Reporting

Power Automate exports monthly assigned/suspended/deactivated SIMs for TEC, Admin, and Finance.
